Dashboards

Introduction to Dashboards

If you click/expand the Dashboards menu, you will see a sub-menu called All Dashboards. If you have pinned (see below) any dashboards, they will appear as sub-menus under All Dashboards.

1. Click the Dashboards > All Dashboards to see a list of all the dashboards. Click on a dashboard to access it.

2. The top section of the Dashboards screen shows all Custom Dashboards you have created.

3. The lower section shows the Preset Dashboards that come pre-packaged with your deployment.

4. Click the Layout buttons near the top-left corner to switch between a preview layout and a list layout. See the Layout section to learn more.

5. Click the New custom dashboard button to create a new Custom dashboard. See the Custom Dashboards section to learn more.

6. Click the Three Dots icon next to a custom dashboard’s name to access its context menu. You can clone the dashboard, share it, set it as home, delete the dashboard, etc. from the context menu. See the Dashboard Actions Menu for more information about common dashboard actions.

7. Click the Star icon in front of a dashboard’s name to pin/unpin it. Pinning it will show it under the Dashboards menu.

Common Dashboard Features

Most of the Dashboards have some common features such as the ability to filter the data, create a duplicate (clone), view detailed records, drill-down charts, etc.

1. Tabs: Tabs allow you to organize dashboards. Tabs act as a placeholder/container for widgets. You can click the New tab button to add new tabs to you custom dashboards. See the Dashboard Tabs section for more information.

2. Pinned Filters: Pinned filters appear near the left side of the dashboard. For more information, check out the Filters section.

3. Export: Allows you to export the dashboard in CSV/PDF or schedule for automated delivery via email. Check out the Dashboard Export Menu section for more information.

4. Customize Dashboard: Click this button to put the dashboard in edit mode. Click and drag a widget's title to move it around, or drag its left, right, or bottom border to resize it. Note that if it’s a preset or built-in dashboard, you will not be able to save your changes. If it’s a custom dashboard, you can save your size and location adjustments, as well as add or remove tabs and widgets:

a. Click New tab to add a new tab. See the Dashboard Tabs section to learn more about tabs.

b. Click the New widget button to add a new widget to the dashboard.

c. Click the AI button to create a widget with the AI Widget Generator. See the Adding an AI-Generated Widget section to learn more.

d. Hover of the top-right corner of a widget to access Widget Actions (see below).

e. Click the Save button to save the changes or Cancel to revert any changes.

5. Filters: Click the Filters button to select users/computers, show only data points matching certain values, etc. For more information, check out the Filters section.

6. Dashboard Actions Menu: Click the Three Dots icon near the top-right corner of the dashboard to access the Dashboard Actions Menu. The action menu allows you to pin the dashboard, clone it, etc. See the Dashboard Actions Menu section to learn more.

7. Widgets: Widgets are the main components of a dashboard. Widgets are dynamic tiles that display information on selected data points or KPIs. Charts and Grids (tables) are the most common widget types. But there are also special types of widgets. See the Dashboard Widgets section to learn more.

8. Chart Drill-Down (Quick Filter): On some chart widgets (e.g., Bar, Column, or Heatmap), you can click on a chart element (e.g., the bar of a bar graph) to drill down into the chart element. The whole dashboard will then update to show data for that element only. For example, in the above figure, “Jackson Gollan” is selected. Other charts and the grid widget now show data for “Jackson Gollan” only. You can reset the drill-down by clicking on the selected element again or by pressing the Remove drill-down button. 9. Grid Row Context Menu: Click the Three Dots icon in front of a row on a grid widget to access its Context Menu. You can also access it by right-clicking directly on a row. From here, you can view the detailed record (metadata) of an activity/incident, view the video recording (Session Player), or investigate an employee (Viewing an Employee’s Details / Monitoring Reports). The context menu may also include additional actions depending on the dashboard you are on. See the Using the Grid Row Context Menu section for more information.

10. Session (Video) Records: On most dashboards, you will see Movie Camera icons next to session activities. Clicking the icon will take you to the Session Player at the selected timestamp/activity.

11. Grid Columns: You can click & drag a column to move it. You can click on some columns to sort them. You can also hover over a column and access its Context Menu. The column’s context menu allows you to pin the column, auto-size it, etc. See the Adjusting Columns and Rows section to learn more. You can click a column to sort it. Click again to toggle between Ascending and Descending sort.

12. Widget Actions: Hover over the top-right corner of a widget to reveal actions you can apply to the widget. Note that some of the options are only available when you activate the dashboard edit mode (Customize Dashboard). See the Editing/Managing Widgets section for more information on how to manage widgets, including options to edit, clone, remove, filter, etc.

Filters

Dashboard Filters

You can use the Filters button on a dashboard to narrow down the data on an entire dashboard. Clicking it opens a panel on the right where you can specify the filters.

You can create behavior rules directly from dashboard filters. See the Creating Behavior Rules from Dashboard Filters section for more information.

1. Expand/Collapse Filter Groups: The filters are grouped into categories like Common, App & Web, Office, etc. You can expand or collapse a filter group by clicking the title or the Up/Down Arrow icons.

What filter groups you will see depend entirely on the specific dashboard you are currently using. Activity dashboards, for instance, include groups and filters that are specific to the data they display. For example, the Application & Websites dashboard has an App & Web group under which you will see filters like “Type”, “Title”, “URL”, “App / Domain”, etc.

Most dashboards also include a Common group, under which you will find general filters such as “Employee”, “Computer”, “Timezone”, etc. Other screens, like Employees, Computers, etc. have their own groups and filters, but the functionality is consistent across the platform.

2. Add/Remove Filters: Click inside a filter field to add a value. Some filters support multiple values (e.g., Employee). To remove the values, click the small x icon.

3. Pin (Bookmark) a Filter: Click the Pin icon next to a filter to pin it. Pinned filters will appear in the top-left corner of your dashboard. For example, the Date, Employee and Type filters shown in the screenshot are pinned. Click again to unpin it.

4. Exclude Items: Click the Exclude checkbox to exclude (remove) the selected values from the results. For example, if you exclude "chrome.exe" from the App/Domain filter, data for that application will not be displayed in the widgets.

5. Clear Filters: Click the Clear filters button to remove all active filters.

Some chart widgets allow you to quickly apply a filter. Check out the Applying Quick Filters (Chart Drill-Down) section to learn more.

Widget Filters

You can apply filters to individual widgets too. To do so:

Hover over a widget and click the Filter icon to open its filter panel. Widget filters are configured similarly to Dashboard Filters, but their scope applies exclusively to the selected widget.

Dashboard Actions Menu

You can click the Three Dots icon to access the Dashboard Actions Menu. From there, you can reset the dashboard, clone it, pin it to the Dashboards menu, etc.

Depending on the dashboard/screen you are in, the Dashboard Actions Menu comes with the following possible* options:

  • Reset Dashboard: This will reset any changes you have made. This option is only shown if there are unsaved changes.

  • Edit Dashboard: Use this option to edit the name and description of the dashboard.

  • Clone Dashboard: Use this option to make a copy of the dashboard (with all its widgets and tabs). After cloning a dashboard, you can modify it.

  • Share: Allows you to share the dashboard with other users. See the Sharing a Custom Dashboard section for more details.

  • Pin Dashboard / Unpin Dashboard: Pinning will add the dashboard under the main Dashboard menu as a bookmark, making it easily accessible. Unpinning will remove it. Please note that you can only pin dashboards available under the Dashboards > All Dashboards menu. Other dashboards/screen like Employees, Computers, etc. cannot be pinned.

  • Set as home: Sets the current dashboard as your default screen so it is displayed automatically whenever you log in.

  • Delete Dashboard: Permanently deletes the dashboard. Note that this only removes the dashboard; your underlying data remains intact.

  • Sync from Teramind Legacy: Only available to customers who have migrated from the Teramind Legacy platform. See the Syncing Your BI Reports from Teramind Legacy section below.

*Not all actions are available to all the dashboards. For example, the Clone Dashboard and Pin Dashboard features are available to both the Preset (built-in) and Custom (user-created) dashboards. However, the Edit Dashboard and Delete Dashboard options are only available to Custom dashboards.

Dashboard Export Menu

1. The Export menu allows you to export the current dashboard:

Scheduling the Auto-Export of a Dashboard / Report

This option is available for Custom dashboards only.

The Schedule Export option lets you set up a schedule to auto-deliver a dashboard to your chosen email address(es). When you click that option, the Schedule export settings panel will open on the right side:

1. Click the Enable auto-export email option to toggle auto-export on/off.

2. Enable the Encrypt with password option to protect the report with a password. A Password field will let you enter the password. The user will need the password to open the exported file.

3. Select an Export Period such as Day, Week, or Month. Depending on what option, you will be presented with two scenarios:

  • If you select the Day or Week option, you will be able to Export days and time, i.e., weekdays (Sun, Mon, Tue, etc.) and time. Daily reports will be sent every day with the previous day’s data. Weekly reports will also be sent daily with the last 7 days’ data. Note that, for the daily/weekly reports, auto exports will happen only on selected days.

  • If you select the Month option, you will be able to select the Export day of the month and the time when auto export should happen:

    The report will contain data from the same day (including) in the previous month to the export day (exclusive).

4. Select an Export Format for the report: CSV or PDF.

5. Enter one or more email addresses in the Send export file to emails field.

6. Click the Save changes button to save and schedule the auto-export. You can download the scheduled files later from the System > Dashboard Exports screen. Scheduled exports will be marked with "True" in the Scheduled column.

Exporting the Dashboard as CSV

The Export CSV option allows you to export the dashboard as a CSV file. Currently, only grid widgets are exported; charts are not included (see the Dashboard Widgets section to learn more about widgets).

The CSV export feature supports a maximum of 10,000 rows per file. If you need to export a larger volume of data, we recommend adjusting your date range or exporting the report in smaller increments (e.g., month-by-month rather than 6 months at a time).

When you click Export PDF, a System Alert will appear at the bottom-left corner of the screen while the report is being prepared. You'll then receive a second notification when the report is ready:

Click Download ZIP to download the exported file.

You can also download the file from the System > Dashboard Exports screen.

Exporting the Dashboard as a PDF

The Export PDF option lets you export the dashboard as a PDF. When you click that option, the Export PDF panel will open on the right side:

Select widgets to export:

1. On the left side of the panel, you will be able to select the Chart widgets for export:

  • You can select a widget by clicking the small Checkmark under it.

  • Use the Select all widgets option to select/deselect all widgets.

PDF settings:

2. On the right side of the panel, you will be able to configure the layout and page orientation for the PDF:

  • Select a Layout. You can have each widgets on separate pages or Keep the dashboard layout.

  • Select a Page Orientation: Portrait or Landscape.

3. You can enable the Save settings for this dashboard to save your settings for future exports.

4. Click the Export button to start the export process. A System Alert will appear at the bottom-right of the screen while the report is being prepared. You will then see another notification when the report is ready:

5. Click the Export button to start the export. The exported report will be available for download in the System > Dashboard Exports screen.

Sharing a Custom Dashboard

Custom dashboards can be shared with other employees on your Teramind instance, so teams can collaborate on the same reports without rebuilding them.

1. Open a custom dashboard and click the Three Dots icon located near the top-right corner to access the Dashboard Actions Menu.

2. Click Share. This will open the Share panel:

3. Under Add an employee, select the person you want to share with. Repeat for each employee you wish to add.

4. Choose their access level: Read-only or Read-write. See below for more information about access levels.

5. To stop sharing with someone, click Remove nex5t to their name.

6. Click Save to start sharing the dashboard.

Sharing Access Levels

The table below explains what the user can do for each access level:

Tip: To let someone experiment freely without affecting the shared dashboard, have them clone it instead (Dashboard Actions Menu > Clone Dashboard). A clone is their own private, editable copy.

Sharing Rules

  • Only the owner can share. The Share option appears only for the dashboard's owner (the employee who created it). Recipients - even those with Read-write access - cannot re-share the dashboard or change the share list.

  • Only custom dashboards can be shared. Preset (built-in) dashboards are read-only for all users and cannot be shared.

  • Deleting a shared dashboard removes only your own access. When a recipient deletes a dashboard that was shared with them, it disappears from their list but remains for the owner and everyone else. Only the owner can permanently delete a dashboard.

Classifying Applications and Domains as Productive/Unproductive

Some dashboards, like Applications & Websites, Keystrokes, etc., allow you to classify applications and website domains as productive, unproductive, or assign them to custom categories (i.e., assign the Productivity Profiles directly from the dashboard).

The Classification column in the grid widget shows if an app or website is productive, unproductive, etc.

You can classify an item from a grid widget's Context Menu:

1. Click the Three Dots icon in front of a row on a grid widget to access its Context Menu. You can also access it by right-clicking directly on a row.

2. Then, select the Classify Activity option. The Classify Activity panel will open on the right side:

3. There is a Default profile assigned to the activity. You cannot change it. Select a category from the Category drop-down menu.

4. You can add additional profiles by clicking the Add Productivity Profile button.

5. Click the Minus button to remove a profile.

6. Click the Classify button to save the classification.

Notes:

  • If you don't see the Classification column, click the Grid icon and add it from the list of columns.

  • The Productivity Profiles allow you to create productivity categories and classification rules.

  • If you want to apply the latest classifications to older activity records, use the Update Past Classifications button on the Productivity Profiles screen.

Creating Behavior Rules from Dashboard Filters

When one or more filters are applied to a dashboard, a New Rule option becomes available under the Dashboard Actions menu. Selecting it opens the rule creation form with fields pre-filled from the active filters, so you do not have to re-enter the same criteria manually. The example below shows three filters applied to the Applications & Websites dashboard and how each one maps into the generated rule:

Each filter maps to the rule as follows:

  • Employee (“John Doe”) carries over to the Employees tab, under Assign to.

  • Type (“App Activity”) sets the rule as an Activity rule using the Applications activity category.

  • App/Domain (“cmd.exe”) becomes a condition: Application Name equals cmd.exe.

Filters that can't be determine, such as Name, Parent Policy, Action, etc. are left for you to set before saving.

This gives you a quick starting point for building an Activity rule around data you are already looking at, rather than recreating the same conditions from scratch in the rule builder.

Preset/Built-In Dashboards

Teramind comes with many many pre-built dashboards for common use cases. For example, the Overview dashboard gives you a quick snapshot of user activity, web and app usage, behavior rules violations, and users who are online. The Audit and Behavior Alerts dashboards facilitate investigations, Productivity dashboard lets you identify your team’s output. There are also dedicated dashboards that help you track user activities across all monitored systems, such as Applications & Websites, Emails, etc.

Preset dashboards cannot be edited except temporarily; minor adjustments are allowed (for example, rearranging the columns on a grid widget). However, you won’t be able to save the changes. As soon as you reload the page, the changes will be reset.

To build a Custom dashboard that looks like a Preset dashboard, first, clone it, and then you can modify it according to your needs. See the Cloning a Dashboard section to learn more.

Overview

The Overview dashboard comes with only one tab: Live Activity Overview.

Live Activity Overview

On the Live Activity Overview tab, you'll see three rows of widgets.

On the first row, four chart widgets provide a high-level view of user activity: Activity shows the percentage of user activity, Web Usage displays the time users have spent on different websites, App Usage shows the time users have spent on various applications, and Behavior Rule Violations lists violations committed by users.

The second row contains two widgets that show real-time user data. The Live Montage displays live screen snapshots of users, and Live Users shows information about currently online users, including their Name, Location, Current Task, Current Activity (the app or website they're using), Work Time, and Activity Rate. A small dot in front of the employee’s name indicates their status:

  • Green: The user is actively working and tracking activity is in progress.

  • Red: The user is idle and no activity has been detected.

  • Gray: The user's status is not yet available or is still being determined.

The third row has a grid widget called List of Behavior Rule Violations. This widget provides a detailed list of rule violation alerts, including the Timestamp, Employee, Computer, Policy, Rule, Description of the alert, and the Triggers column. The Triggers column shows what specifically triggered the rule and the exact conditions that were detected when the rule was violated.

Note: The date filter on top of the dashboard doesn’t affect the Live Montage or Live Users widget. They show currently online users.

AI Usage

Notes About the AI Usage Dashboard:

  • To use this feature, enable AI Usage monitoring within your monitoring profile(s) and specify the AI services/applications you wish to track.

  • Some data points, such as audio input or prompts embedded within images, are not captured.

  • Not all planforms are supported on all operating systems. For more information on what AI platforms are tracked across Windows, macOS, Linux, check out this article.

The AI Usage dashboard helps you monitor and understand how your team uses AI tools and services like ChatGPT, Gemini, Claude, and other Large Language Model (LLM) chat agents.

It's delivered as a single-tab dashboard, Overview, which brings together trend, model, and employee-level metrics so you can quickly see when AI is being used, which tools and models are most active, and who your top AI users are.

Overview

On top of the dashboard, two chart widgets summarize how your employees are interacting with AI tools:

  • AI activity trend: Shows the daily count of outgoing AI messages (prompts) over time to quickly spot peaks, drops, and overall adoption trends.

  • AI usage by employee: Helps you review the number of prompts issued by the top employees, allowing you to quickly identify your highest AI users for coaching, policy review, or champions programs.

At the bottom, the AI usage details grid lists each captured AI interaction in the selected period. It supports standard dashboard operations (sorting, filtering, column selection) and shares the same filters/date range as the charts.

In addition to common columns (e.g., Timestamp, Employee, Computer), the grid includes special columns to help you investigate the AI interactions:

  • Direction: Shows the type of communication. Outgoing means the user's input or prompt, and Incoming means the AI agent’s response.

  • Model: Indicates the specific AI model used (e.g., “gpt‑5‑2”, “gpt‑5‑mini”, etc.).

  • AI Tool Type: Shows the AI tool name (e.g., “ChatGPT Web”, "Gemini Web", etc.).

  • Title: Displays the chat title generated by the AI agent. Note: Not all conversations have a title.

  • Conversation: Shows a preview of the conversation. You can hover over the column to see more details. This helps you to quickly preview what was asked and how the AI Agent responded without opening the full details. Too view the full conversations, you can use the View LLM Conversation option from a row’s context menu (see the Viewing Conversations section below).

  • Last Message: Shows the last message of a conversation.

  • Attachments: Displays any files shared.

Viewing Conversations

1. Click the Three Dots icon in front of a row to access its Context Menu. You can also access it by right-clicking directly on a row.

2. Then, select the View AI Conversation option. An AI Conversation window will pop up:

3. Click the Source field to filter the message by participants (e.g., employee and the AI agent).

4. Click the Show previous messages button to load older messages (if present).

5. Click the Show next messages to load more messages (if present).

6. Click the Export PDF or Export CSV button to export the conversation as a PDF/CSV file.

Exporting / Downloading Conversations and Attachments

Downloading a Single Conversation / Attachment

1. Click the Three Dots icon in front of a row to access its Context Menu. You can also access it by right-clicking directly on a row.

2. If the row contains attachment(s), you will see the Download attachments option. Hover over the option and select the file you want to download. A search bar is available to locate specific files when multiple attachments exist.

3. Click the Export CSV or Export PDF button to export the conversation.

Batch Downloading Multiple Conversations / Attachments

1. Select rows by clicking the Checkboxes .

2. An Actions menu will be shown near the top-left corner. From the menu, select Export CSV or Export PDF to export the selected conversations. Select the Download attachments option to download all the attachment associated with the conversations.

3. Click the Apply button to start the export/download process. The files will be combined into a Zip file and then downloaded.

Agentic AI

Activating the Dashboard:

The Agentic AI dashboard requires a specific AI Usage policy and several specialized rules to operate. If you do not already have these, or if you are accessing the dashboard for the first time, a notification banner will appear at the top to let you create them:

Click the Auto-create policy and rules button to generate the required policy and rules. Once the policy and rules are created, you will see another notification:

Click the Enable policy and rules button to enable them. You are now ready to use the dashboard.

The Agentic AI dashboard transforms raw rule violation data into actionable intelligence regarding the behavior of automated AI agents. It’s designed to track Agentic and CLI-based tools, such as OpenClaw, which operate entirely outside the view of traditional browser or network monitors.

It’s delivered as a single-tab dashboard, Basic, which shows all the metrics related to the rule violations.

Basic

The Usage Timeline chart shows number of rules violated over the timeline.

The Activity Type Breakdown shows a breakdown of rule violations by risk object type (e.g., Application, File) allowing administrators to monitor the frequency and nature of autonomous tasks, specifically identifying when an agent performs filesystem or application-specific operations.

The AI Usage By Employees chart highlights top violators.

The Application Details grid captures policy and rule details including descriptions and specific triggers such as command-line arguments, execution strings, file operations (e.g., read/write), and file paths. This establishes a transparent audit trail to ensure agents do not initiate dangerous actions or bypass security controls without authorization.

AI Data Exfiltration

Activating the Dashboard:

The AI Data Exfiltration dashboard requires a specific AI Usage policy and several specialized rules to operate. If you do not already have these, or if you are accessing the dashboard for the first time, a notification banner will appear at the top to let you create them:

Click the Auto-create policy and rules button to generate the required policy and rules. Once the policy and rules are created, you will see another notification:

Click the Enable policy and rules button to enable them. You are now ready to use the dashboard.

The AI Data Exfiltration dashboard provides specialized oversight for preventing the unauthorized movement of sensitive information to AI platforms. It acts as a central repository for alerts generated by purpose-built AI rules, such as blocking proprietary document uploads or detecting sensitive API keys in LLM prompts.

It comes with two tabs: Basic and Risk.

Basic

The Timeline chart plots rule violation trends and identifies peak activity periods.

The Rules Breakdown chart categorizes violations by risk type, such as Clipboard, File Upload, etc. helping you identify the riskiest exfiltration vectors. The Violating Employees chart provides a similar breakdown by users to highlight top violators.

Detailed logs in the Exfiltration Events grid document the policy and exact conditions that tripped each alert, including file paths, destination URLs, and matching triggers.

Risk

The Risk tab is similar to the Risk tab under the Behavior Alerts dashboard.

It allows you to conduct risk assessment for the potential AI data exfiltration incidents. The dashboard contains several chart widgets that show various alert and risk comparisons such as Alerts & Risk Timeline (alerts count and risk score by timeline), Alerts Heatmap (alerts count by hour), Risk Heatmap (risk score by hour), Total Violating Employees (employees who generated the most alerts count), Top Violating Departments (departments who generated the most alerts count), Top Violating Rules (rules which generated the most alerts count), Top Risky Employees (employees with the highest risk score), Top Risky Departments (departments with the highest risk score), Top Risk Rules (rules with the highest risk score).

A grid widget on the bottom shows Name (grouped by Employee, Policy, and Rule), Count (number of alerts), Risk (risk score), Timestamp, Employee, Computer, Description (of the alert), etc.

All Events

The All Events dashboard shows all the events/activities for all users and computers.

Basic

The Basic tab comes with a single grid widget. In addition to the common columns (e.g., Timestamp, Employee, etc.), the widget shows information such as Event Type (e.g., App Activity, Web Activity, Alerts, File Transfers, Emails, Sessions, Print, Keystrokes, etc.) and Event Description columns.

Applications & Websites

The Applications & Websites dashboard highlights app and web usage statistics for employees and departments. It comes with three tabs: Basic, Aggregated, and Categories.

Basic

The Basic tab contains several chart widgets such as Top Employees, Top Departments, Top App/Domains, Top Categories*, Top Browsers, etc.

A grid widget on the bottom shows all app/web activities by Timestamp, URL, Department, Computer, App/Domain, Title, etc.

Aggregated

The Aggregated tab shows similar charts to the Basic tab. The only difference is the grid widget on the Aggregated tab groups employees by App/Web category.

A grid widget on the bottom shows all the Name (app/website domains), Employee, Time (spend on the app/site), Task, Active Time, Productive Time, Unproductive Time, etc. The rows on the grid widget are grouped by the App/Domain column.

Categories

The third tab, Categories, has a few more chart widgets such as Top Security Categories, Top Reputations, Classification Timeline, etc.

A grid widget on the bottom shows Name (app/website category, domain, and user), Timestamp, Title (of the app/website), Idle Time, Productive Time, etc. The rows are grouped by the Category and App/Domain columns.

Classifying Applications and Websites

Audit

Basic

The Audit dashboard comes with only one tab: Basic. It captures all the activities performed by users on the Teramind Dashboard. The dashboard comes with a grid widget only.

In addition to common columns like Timestamp, Date, etc., the dashboard comes with some unique columns (you can add columns by clicking the Columns tab on the right side of the grid):

  • IP: IP address of the computer.

  • Action Type: displays what action the user took. For example: Login, Logout, View, Create, Edit, Delete, Unlock, Enable Monitoring, Disable Monitoring, View History Screen, Remote Install, Export, Time Edit, etc.

  • Entity: Name of the entity. For example, if it’s a 'Login' action, you might see the user who logged in; if it was a 'View' action of the computers page, you will see the computer name here.

  • Entity Type: Entity type, such as page or object. For example, ProductivityProfile, BIQuery, Report, Agent, Computer, Task, etc.

  • Description: details about the action/object. For example, if the user viewed the history mode on the Session Player, you will see an Action Type, ‘View’, and object type ‘Player’, and then in the Description column, you will see the data and time range of the video, such as ‘Record for 2023-02-28 17:52:58’.

  • Details: shows objects and object types associated with the action.

    • Object Type: displays what type of object the user accessed. This can be Page, Agent, Computer, Task, Project, Schedule, Behavior Policy, BI Query (BI Report), TMA Report (Monitoring Report), Rule, Alert, Monitoring Profile, etc.

    • Object: the actual object the user accessed. For example, Agent: Rob Silver, Task: Presentation Meeting, Behavior Policy: Productivity, Computer: DESKTOP-194N2D1, TMA Report: Applications & Websites, etc.

Behavior Alerts

The Behavior Alerts dashboard shows all the rule violation incidents. This dashboard shows details for all alerts, actions taken by the system, and risk information for employees and departments. It comes with two tabs: Basic and Risks.

Alerts are generated by behavior rules. For more information about Behavior Policies and Rules, check out the Configurations > Policies section.

Basic

The Basic tab contains several chart widgets that show alert count by Timeline, Hourly, and Top Employees.

A grid widget on the bottom shows Timestamp, Employee, Computer, Policy, Rule, Description (of the alert), and a Triggers column that shows what triggered the rule and exactly what rule criteria and conditions were detected when the rule was violated:

Risk

The Risk tab allows you to conduct an organization-wide risk assessment. It contains several chart widgets that show various alert and risk comparisons such as Alerts & Risk Timeline (alerts count and risk score by timeline), Alerts Heatmap (alerts count by hour), Risk Heatmap (risk score by hour), Total Violating Employees (employees who generated the most alerts count), Top Violating Departments (departments who generated the most alerts count), Top Violating Rules (rules which generated the most alerts count), Top Risky Employees (employees with the highest risk score), Top Risky Departments (departments with the highest risk score), Top Risk Rules (rules with the highest risk score).

A grid widget on the bottom shows Name (Tag, Policy, Rule), Count (number of alerts), Risk (risk score), Timestamp, Employee, Computer, Description (of the alert), etc.

Camera Usage

The Camera Usage dashboard allows you to view detailed information about the camera (webcam) usage statistics by the users.

Note that the Camera Usage dashboard doesn't capture the video/audio directly from the webcams. It just provides a way for you to track when a camera is being used, by whom, and in what application. However, if the Screen Recording option on the Monitoring Profiles is turned on, you will be able to click the Movie Camera icon and play back the session recordings of a user’s desktop (including any webcam sessions). You can also turn on Audio recording to capture audio input/output.

Basic

The dashboard comes with only one pre-configured tab: Basic. The tab gives you an overall report on the camera usage activities. In addition to the common BI data points/dimensions (e.g., Date, Employee, Department, Computer, etc.), it shows the Meeting Application and Camera Name:

Console Commands

The Console Commands dashboard shows details of console/terminal commands executed by a user or an application from the command line. Console Commands can be useful to keep an eye on privileged users (system admins, power users, etc.), as these commands are often used to execute system-level applications and scripts. In the wrong hands, such commands can be dangerous and need overseeing.

Basic

The dashboard comes with only one tab, Basic, that shows several chart widgets by Timeline, Hourly, and Top Commands.

A grid widget on the bottom shows all console commands by Timestamp, Employee, Command, etc.

Note that only external commands/apps run from the console are tracked. Internal console commands built into the OS, like dir, cls, del, etc., aren’t tracked.

Emails

The Emails dashboard displays all the email activity for employees and departments. It comes with four tabs such as Basic, Attachments, Destinations, and Sources.

Basic

The Basic tab comes with three chart widgets: Timeline (incoming and outgoing emails by date), Top Employees (by incoming/outgoing emails), and Hourly (a heatmap of email count by hour on a week).

A grid widget on the bottom shows the details of the email activities, such as Direction, Source, Destinations, Subject, Body, Attachment, etc.:

Attachments

The Attachments tab shows details of email attachments. It comes with six chart widgets: Top Employees (by incoming/outgoing attachments), Top Destination Domains, Mail Clients, Timeline, Incoming and Outgoing Attachment Heatmap (a heatmap of attachment count by hour on a week).

A grid widget on the bottom shows details such as Name (attachment, user), Source, Destinations, Destination Domains, Subject, Count (total items in the row group), Incoming, Outgoing, etc. The rows are grouped by the Attachment and Employee columns:

Destinations

The Destinations tab shows details of email destinations. It comes with three tabs: Top Employees (by incoming/outgoing emails), Top Destination Domains, and Top Destination Addresses.

A grid widget on the bottom shows details such as email Direction, Source, Destination, Subject, Count (total number of emails sent/received), Incoming (total number of incoming emails), etc. The rows are grouped by the Destination Domains and Destination columns:

Sources

The Sources tab shows similar information to the Destinations tab. Except, it shows information for email sources:

File Events

The File Events dashboard shows details of all file events on the local drives, external drives (such as USB drives), network, and even Cloud files. It comes with only one tab, Basic.

Basic

The Basic tab shows several chart widgets: Timeline (by the volume of file activities such as Access, Copy, Create, Rename, Remove/Delete, etc.), Top Employees (who had the most file activities), and Top File Extensions.

A grid widget on the bottom shows all file events by Timestamp, Employee, Event Type, Path, Description, etc.:

Note that Teramind cannot track the copy operation for a file from one network server to the same network server (e.g., source and destination are the same). For example, copying a file from \\103.247.55.101\source_folder to \\103.247.55.101\destination_folder cannot be tracked.

Copying of an empty file cannot be tracked since it will be impossible for the system to distinguish between the file Create and Copy operations due to the zero size of the file.

Copying files to/from the same local drivers is detected as usual.

Geolocation

With the Geolocation monitoring feature, you will be able to track where your employees are working from. This might be useful if you have a remote, dispersed team or have field workers who work on different job sites. You can use the information for security, scheduling, payroll, and compliance purposes. For example, check for attendance, identify if an employee is working from home, track when a user is traveling abroad, etc.

You can use the Geolocation monitoring settings to configure how often the location information will be pulled from the users’ computers.

The Geolocation dashboard comes with two tabs: Basic and Map.

Basic

The Basic tab has a grid widget that shows the detailed location information for all users:

You can select from the following columns (by clicking the Columns tab on the right side of the grid):

  • Timestamp: date, time, and GMT offset.

  • Date: date of entry.

  • Employee: user's name.

  • Computer: computer's name.

  • Department: the department of the employee.

  • Task: the task the user was working on at the time.

  • Count: number of times the event occurred (usually it's 1).

  • Country: the country where the user was located at the time.

  • Country First Level division: the primary administrative division of a country. For example, US states, Canadian provinces, French regions, etc.

  • Country Second Level division: secondary administrative division of a country. For example, US counties, French departments, Spanish provinces, etc.

  • City: City.

  • Offline: shows if the user was offline at the time.

  • Time: the duration of the event.

  • Latitude: the north-south coordinate.

  • Longitude: the east-west coordinate.

  • Error Radius: the accuracy of the location, defined in meters. The lower the number, the higher the accuracy.

Map

On the Map tab, the coordinates are plotted on a map for easy visualization of the locations:

1. Circular areas on the map show the locations of the users. The color of the circle represents how long the location was used (hours). A color scale on the left can be used as a reference.

2. You can hover over a circle to view the latitude, longitude, time (total hours the location was used), and the location.

3. You can zoom in/out on the map, reset the view, etc., by using the controls located near the top-right corner of the map. If you have a mouse wheel, a touch pad, or a touch screen, you can also use gestures (e.g., pinch, scroll the mouse wheel, etc.) to zoom. Click and drag to move the map around.

Instant Messages

The Instant Messages dashboard helps you track any chat conversation, whether on the web or in-app. It can track Google Hangouts, Skype Web, Skype Desktop, Slack, etc. You can monitor incoming and outgoing messages and group chats.

The dashboard comes with two pre-configured tabs: Basic and Attachments.

Basic

The Basic tab comes with three chart widgets: Timeline (of incoming/outgoing IMs), Top Employees, and Hourly (total IMs by each hour for a week). It also has a grid widget that shows all the details about the IM activities, such as Source (who sent the message), Destination (recipient), Attachments, Meeting Application, etc.:

Attachments

The Attachments tab comes with six chart widgets: Top Employee, Top Destination, Top Clients, Timeline, Incoming Attachments Heatmap, and Outgoing Attachment Heatmap.

A grid widget on the bottom shows details such as attachment Name(attachment, user, IM client), Timestamp, Count (total number of IMs sent/received), Incoming (total number of incoming IMs), etc. The rows are grouped by the Attachment, Employee, and IM Client columns:

Viewing IM Conversations

You can view the instant message conversations from the grid widget's Context Menu:

1. Click the Three Dots icon in front of a row on a grid widget to access its Context Menu. You can also access it by right-clicking directly on a row.

2. Then, select the View Conversation option. A Conversation window will pop up:

1. At the top, you can filter the message by participants.

2. Click the Load previous messages button to load older messages (if present).

3. Click the Show more to load more messages (if present).

4. Click the Export PDF or Export CSV button to export the conversation as a PDF/CSV file.

Keystrokes

The Keystrokes dashboard shows statistics of all keystrokes entered by the users. In addition to regular characters, the dashboard also tracks words and phrases, special commands (i.e., clipboard copy/paste), use of special keys, and hidden symbols such as the <Print Screen>, <CapsLock>, <Backspace>, etc.

Tip: Add the Keystrokes (No Symbol) column to your grid to view only regular keystrokes, excluding special keys like <Space>, <Backspace>, etc.

The report comes with two tabs: Basic and Categories.

Basic

The Basic tab comes with three chart widgets: Timeline (shows no. of words vs no. of characters/letters typed for the duration), a Heatmap (no. of characters typed each hour), and a Top Apps/Domains (where the most keyboard activities occurred).

There is also a grid widget on the bottom that shows all keystrokes by Timestamp, Employee, Task, App/Domain, etc.:

The Categories tab shows similar information, but for top app/web Categories, Security Categories, and Reputations:

Classifying Applications and Websites

Live View

The Live View dashboard comes with three tabs: Live Users, Live Player, and Snapshots.

Live Users

The Live Users tab shows currently online users in a grid widget. You can view columns such as Department, Employee, Location, Current Task, Current Activity, Work Time, Idle Time, Activity Rate (the average activity % of the total Work Time), Activity Chart (activity % at each 5-minute interval), and Active/Idle Time (idle times are shown as gaps in the bar graph). A small dot in front of the employee’s name indicates their status:

  • Green: The user is actively working and tracking activity is in progress.

  • Red: The user is idle and no activity has been detected.

  • Gray: The user's status is not yet available or is still being determined.

Live Player

The Live Player tab shows a montage of user desktops live. You can click a video thumbnail to view the Session Player.

Snapshots

The Snapshots tab allows you to have a glance at the employee’s desktop:

The snapshots are taken at 10-minute intervals.

1. Select a user or a computer. If you select a computer, you will be able to see all the users’ snapshots from that computer. The Snapshots widget will be shown:

2. You can select how many snapshot thumbnails to show per row from the Snapshots per row dropdown.

3. Under each snapshot, you will see the task the user is working on and their activity level (in percentage). The color of the percentage also gives you a quick idea of an employee’s performance:

4. Click a thumbnail to view the Session Player.

5. You can hover over a thumbnail and then click the X icon located at the top-right corner of the thumbnail to remove the time slot. An Add/Remove Time panel will open on the right side. From this panel, you can remove the time/screen recordings or restrict access to the recordings. See the Adding/Removing Time > Remove Time section below to learn more.

6. Hover over an empty thumbnail and click the Add Time button to add time. See the Adding/Removing Time>Add Time section below to learn more.

Explanation of Previews/Thumbnails

Timeslots may show different types of previews/thumbnails depending on the task or screen recording availability:

Video Thumbnail with task and activity percentage

Normal timeslot. You can view the screen recording and time record for this time slot.

Empty thumbnail with timestamp

It can happen due to one of these reasons:

  • The computer was turned off.

  • Monitoring was turned off for this user/computer.

  • The time record and screen recording were deleted.

  • The computer was locked or went to sleep, and the Record locked session option was disabled on the Screen Recording monitoring settings.

  • The Record only when behavior rule was violated option was enabled on the Screen Recording monitoring settings.

  • The recording was restricted using the Remove time and restrict screen records option, and you don't have the Restricted history screen stream access permission.

  • Blank thumbnails at the end can also mean slots for future entries which hasn't been recorded yet.

Video Thumbnail with a "No task" message

It means you deleted the time/task using the Remove time and keep screen records option.

Video Thumbnail with a "No task (restricted)" message

It means you deleted the time/task using the Remove time and restrict access for screens option.

The thumbnail shows a "Manual time" message

It means you either manually added time or the user used the web-based Tracker to clock in.

The thumbnail shows a "No preview available" message

This can happen due to one of the following reasons:

  • Commonly seen for past timeslots where the agent wasn't monitoring very long during the 10-minute interval. For example, the user only worked for 5 minutes.

  • The 10-minute interval hasn't finished yet (for the current timeslot).

  • End-to-end encryption is enabled for this user.

  • There was an issue with the thumbnail image. Sometimes this can happen if a frame is corrupted. You should still be able to view the video.

The thumbnail shows a "No record available" message

  • This can happen due to one of the following reasons:

  • Screen Recording is disabled in the monitoring settings.

  • You have a monitoring schedule set for the Screen Recording, and this time isn't within the scheduled period.

  • The recordings were deleted as per the Delete history after option on the Screen Recording monitoring settings.

  • The recordings were deleted as per the Delete recording older than option on the Computer Info screen.

  • For a Mac user, this can also mean the Screen Permission wasn't enabled (See this article to learn more).

The thumbnail shows a "SESSION LOCKED" message

This is usually seen when a computer is locked or in sleep mode with an older version of the Agent. Sometimes, antivirus software can also cause this.

Empty/Black thumbnail

It means one of the Suspend Monitoring options is enabled, and it blacked out the app/website from the screen recording. For more information, see the Applications and Websites monitoring settings.

Adding/Removing Time

Add Time

On the Live View dashboard’s Snapshots tab, hover over an empty thumbnail and click the Add Time button to add time. An Add/Remove Time panel will open on the right side:

1. Select employee(s)

2. Select a task to be assigned.

3. Select a date.

4. Drag the Orange Circles to adjust the time.

5. Click the Add Time button to add the time.

Remove Time

On the Live View dashboard’s Snapshots tab, hover over a thumbnail and then click the X icon under the thumbnail. An Add/Remove Time panel will open on the right side:

1. Select employee(s).

2. Select a date.

3. Drag the Red Circles to adjust the time.

4. Depending on the record, you might see several options under the What to remove section.

The following three options will be shown if the slot you selected has a time/task record and video recording:

  • Remove time and keep screen records: will remove the time/task record, but will keep the screen recording.

  • Remove time and restrict screen records: will remove the time and task record and make the screen recording accessible to users who have the Restricted historic screen stream access permission. Users without this permission will not be able to view the screen recording.

  • Remove time and screen records: will remove both the time/task and screen recording.

The following two options will be shown if the slot you selected has a video recording but no task (e.g., you removed the task by choosing option 1 from the above dialogue):

  • Restrict access to the screen records: will remove the time and task record and make the screen recording accessible to users who have the Restricted historic screen stream access permission. Users without this permission will not be able to view the screen recording.

  • Restrict access: will remove the screen recording.

The following two options will be shown if the slot you selected has a restricted video recording (e.g., you removed the task by choosing option 1 from the above dialogue):

  • Restore screen records access: will restore the screen recording so that it's playable by a regular user.

  • Remove screen records: will remove the screen recording.

5. Click the Remove Time button to remove time.

You can also add/remove time from the Employee Details screen.

Login Sessions

The Login Session dashboard shows immutable logs of user sessions. It comes with only one tab, Basic.

Basic

The Basic tab shows several chart widgets. The chart shows session counts by Top Source Computers, Top Source IPs, Top Employees, Session Count by Hour, Session Count by Timeline, and Session Time.

A grid widget on the bottom shows all sessions by Timestamp, Employee, Computer, Source Computer, Source IP, and Time (user’s total session time including any locked sessions), etc.

Explanations of Special Columns:

  • Computer: The name of the monitored endpoint where the session was recorded; this is the machine being tracked by the Teramind agent. For example, donotturnmeoff and simulator123-teramind149-4 are the monitored computers where sessions were captured. For an RDP/remote session, the column shows the host computer’s name.

  • Source Computer: The computer that initiated the session; for remote sessions this shows the connecting machine's (RDP client) name, while local sessions display "local." For example, the session initiated by SURFACE indicates a remote connection was made from a device named SURFACE.

  • Source IP: The IP address of the device that initiated the session; this is the definitive indicator of whether a session is local or remote. Local sessions display "local," while remote sessions show the actual network IP of the connecting device. For example, the session from SURFACE shows a Source IP of 100.79.9.93.

  • Timestamp End: The date and time when the session ended; combined with the Timestamp (start time), it defines the full duration of the session. For example, John Doe's session that started at 2026-08-07 11:13:08 AM ended at 2026-08-07 12:31:12 PM, giving a total session duration of 01:18:04 as shown in the Time column.

When Computer and Source Computer Show the Same Name:

The source machine's hostname may match the monitored computer's name when the machine connects to itself via a remote session (e.g., a loopback RDP connection made through a network interface rather than locally). It may also occur with virtual machines or cloud instances where the hostname is auto-generated and identical for both host and client, but the connection is still made over the network.

In both cases, the Source IP is the definitive indicator - a real IP address confirms it is a remote session, not a local one. A genuine local session always shows "local" in both Source Computer and Source IP.

OCR

Moved under the main menu. See the OCR section in the User Guide.

Printing

The Printing dashboard shows details of documents sent to the local or network printers. It comes with only one tab, Basic.

Basic

that shows several chart widgets: Timeline (shows no. of print jobs, pages, and copies), Top Employees (by no. of print jobs), and an Hourly heatmap of the print jobs.

1. Click the Three Dots icon in front of a row on the grid widget to open its Context Menu. You can also access it by right-clicking directly on a row.

4. You can download a PDF version of the document or print the document using the buttons at the bottom.

Explanation of Productivity Metrics

How Productive/Unproductive Time are Determined

Productivity Profiles determine how apps/websites are classified as productive/unproductive. This, in turn, will affect how Productive Time, Unproductive Time, etc., are reported.

The Productivity dashboard highlights productivity metrics and Key Performance Indicators (KPIs) for employees and departments and their resource utilization. This dashboard serves as a central hub for managers and administrators to assess workforce efficiency, identify productivity trends, and spot areas for improvement. It comes with two tabs: Overview and Time Worked.

Overview

The Overview tab of the Productivity dashboard provides a comprehensive, organization-wide snapshot of workforce productivity for the selected period. It combines high-level KPI metrics, trend charts, department and location comparisons, and individual employee highlights into a single view, giving managers and administrators everything they need to assess efficiency, identify underperforming areas, and make informed decisions about resource allocation and policy adjustments.

Top-Level KPI Metrics

Located at the very top of the dashboard, four KPI cards provide immediate, high-level insight into the organization's aggregate performance for the selected period. The metrics are:

  • Employees monitored: The total count of users actively being tracked during the selected period.

  • Avg active hours/day: The average number of hours per day that users are active on their computers.

  • Avg productive hours/day: The average number of hours per day classified as productive, based on your Productivity Profiles configuration.

  • Avg productive time % per day: The efficiency ratio of productive time against total active time, accompanied by a donut chart for a quick visual reference.

A trend indicator (↑ or ↓) appears beneath each metric, showing the change relative to the previous comparable period. For example, an Avg active hours/day of 9.93 hrs with a ↑+0.65 indicates an increase of 0.65 hours compared to the prior period. This section is best used for a quick "health check" of your team's overall productivity.

Avg Hours

This line chart contrasts Avg productive no idle time with Avg active time on a daily basis across the selected period. This comparison is critical for distinguishing between mere online presence and actual productive output, allowing managers to identify whether high activity levels are translating into meaningful work. A persistent gap between the two lines indicates that a significant portion of active time is not being classified as productive.

Avg Productivity %

This line chart tracks three metrics simultaneously: Avg productive no idle time %, Avg unproductive time %, and Avg unclassified time %. This breakdown highlights efficiency trends and potential distractions over time. It also alerts the organization when employees are spending significant time on uncategorized resources, prompting necessary updates to your productivity classifications.

Avg productive time by department

This horizontal bar chart compares the average productive no idle time across departments for the current period against the previous period (shown as a lighter bar). Use this chart to identify which teams are performing best and to allocate coaching or resources where needed.

Avg unproductive time by department

Same as the Avg productive time by department but shows unproductive time instead.

Avg productive time by location

This horizontal bar chart breaks down average productive no idle time by office location or remote status (e.g., Germany office, Out-of-office), compared against the previous period. Use this to assess the effectiveness of remote work policies and identify whether certain locations are outperforming others.

Avg unproductive time by location

Same as the Avg productive time by location but shows unproductive time instead.

Most productive

This grid widget ranks the applications and websites contributing most to productive work (e.g., chrome.exe, accounts.google.com, mail-google.com), showing the average productive no idle time per app or domain alongside a trend indicator comparing to the previous period. This section is useful for confirming that the tools employees rely on are properly classified as productive in your Productivity Profiles.

Most unproductive

Same as the Most productive but shows unproductive apps/sites instead.

Most productive employees

This grid widget lists the top-performing employees ranked by average productive time, also displaying each employee's average productive no idle time % alongside a visual bar and a trend indicator. This is useful for recognition, benchmarking, and identifying employees whose habits can serve as a model for others.

Most unproductive employees

Same as the Most productive but shows unproductive employees instead.

Productivity detail

Located at the bottom of the dashboard, this comprehensive grid widget offers a granular, per-employee view of all the possible productivity metrics for the selected period. This widget is essential for deep-dive analysis, individual performance reviews, and validating the high-level trends observed elsewhere on the dashboard.

Applications and Websites

This section contains two grid widgets showing providing context on how time is being spent.

The Most productive widget ranks the applications and websites that contribute most to work tasks (likely CRMs, email, or specialized software).

The Most unproductive widget highlights distractions (such as social media or entertainment sites). This section is critical for IT and management to audit software usage and adjust content filtering policies if necessary.

Individual Employee Highlights

This section acts as a leaderboard to identify outliers in workforce performance. The Most productive employees widget lists top performers based on productive hours or percentages, useful for recognition and benchmarking.

On the other hand, Most unproductive employees widget highlights users with the highest ratios of non-work-related activity, enabling managers to proactively address potential engagement issues or burnout.

Productivity Detail

Located at the bottom, this comprehensive grid widget offers a granular view of every individual employee's metrics. It lists specific data points for each user, including Avg active hours, Avg productive/unproductive/idle time, and Total work time. This widget is essential for deep-dive analysis, performance reviews, and validating the high-level trends observed elsewhere on the dashboard.

Time Worked

The Time Worked tab of the Productivity dashboard provides a focused view of how employee working hours are distributed across the selected period. Where the Overview tab surfaces productivity quality, this tab centers on raw time - how much employees worked, how much of that was idle, and how activity is spread across the day. It is best used by managers and administrators who need to verify attendance patterns, monitor shift coverage, or investigate specific employees' daily time logs.

Top-Level KPI Metrics

Located at the very top of the tab, three KPI cards provide an immediate, organization-wide summary of time metrics for the selected period:

  • Total work time: The combined work time logged across all monitored employees for the selected date range.

  • Idle time: The total time during which employees were logged in but no active input (keyboard or mouse) was detected.

  • Avg activity (%): The average activity percentage across all employees, representing the proportion of work time that was active versus idle.

A trend indicator (↓ or ↑) appears beneath each metric, showing the change relative to the previous comparable period. For example, a Total work time of 1971h 51m with a ↓-195h 20m indicates a decrease compared to the prior period. Use these cards for a quick pulse check on whether overall working hours and engagement levels are trending in the right direction.

Time Worked

This stacked bar chart displays the daily breakdown of total working hours across the organization for the selected period. Each bar represents one day and is divided into two segments:

  • Blue - Total work time: The total duration employees were logged in and tracked that day.

  • Red - Idle time: The portion of that work time during which no activity was detected.

Use this chart to spot days with unusually high idle proportions, drops in overall work time (e.g., weekends or public holidays appearing as shorter bars), or week-over-week patterns in workforce engagement. Hovering over a bar reveals the exact values for that day.

Work Time Breakdown

Located at the bottom of the tab, this detailed grid provides a per-employee breakdown of time metrics, with the ability to expand each employee row to see their data broken down day by day. Rows are grouped by Employee by default, but can also be filtered by Employee or Department using the top filters.

This grid is essential for investigating specific employees' attendance and activity patterns, validating reported hours, and drilling into any day that appears anomalous in the Time Worked chart above.

Searches

This dashboard shows details of user searches on sites like Google, Bing, YouTube, ChatGPT*, etc. The report comes with only one tab, Basic.

Basic

The Basic tab comes with several chart widgets showing the number of searches by Timeline, Top Employees, Top Sites, and Top Keywords.

A grid widget on the bottom shows all searches by Timestamp, Employee, Site, Search Phrase, etc.:

*Since Windows Agent 17.0, support for ChatGPT searches/conversations has been added on Windows. However, currently, only the user's inputs are captured on the Search report; ChatGPT responses aren't captured.

Social Media

The Social Media dashboard shows details of employees’ social media activities on popular platforms such as Facebook, Twitter, LinkedIn, etc. It comes with only one tab, Basic.

Basic

The Basic tab shows several chat widgets: Timeline (shows the number of actions for posts, comments, edit posts, etc.), Top Employees (by the number of social media activities), and Top keywords.

A grid widget on the bottom shows all social media activity by Timestamp, Employee, Computer, Social Media platform, Action, and the actual Message:

Web File Events

The Web File Events dashboard shows web upload/download activities. The report comes with two tabs: Basic and Details.

Basic

The Basic tab shows several chart widgets by the number of web upload/download activities by Timeline, Top Employees, and Top Domains.

A grid widget on the bottom shows all web file events by Timestamp, Employee, Event Type (Web Download/Upload), Domain, File Name, etc.:

Details

The Details tab shows more details related to web file events such as upload/download Timeline (number of uploads/downloads), Size Timeline (upload/download file size), Top Domains (by upload/download count), Download History (by download count), Uploads Hourly (by upload count), Top Domains by Size (by upload/download file size), Download Size Hourly(by download file size), Uploads Size Hourly (by upload file size), and Total (total number of uploads/downloads).

A grid widget on the bottom shows details for the upload/download activities, such as Timestamp, Employee, Computer, Process, File Name, Domain, URL, Category, Security Category, Reputation, etc.:

Custom Dashboards

You can create a Custom dashboard by either creating a new dashboard from scratch or cloning an existing dashboard first and then editing it.

If you are migrating from the Teramind Legacy environment and intend to keep your migrated BI Reports (now Custom dashboards in Teramind NextGen) synchronized, please consult the Syncing Your BI Reports from Teramind Legacy section for full instructions and important information.

Creating a New Dashboard

1. From the Dashboards > All Dashboards screen, click the Custom Dashboard button. A panel open on the right side:

2. Enter a name and optionally a description, then press the Create button. The dashboard will be created with a Basic tab and an AI widget generator:

3. You can type a prompt in the text area and click the Generate button to create widgets automatically.

Cloning a Dashboard

You can clone a dashboard from the Dashboards > All Dashboards screen or from any open dashboard.

Click the Three Dots icon to open the Dashboard Actions Menu. Then select the Clone dashboard option.

After you have cloned a dashboard, you can edit its tabs and widgets or add new ones. Please see the following sections to learn how.

Syncing Your BI Reports from Teramind Legacy

If you were previously a Teramind Legacy customer, the first time Teramind NextGen is enabled on your instance, all of your custom BI Reports will be automatically migrated and created as Custom dashboards in NextGen.

The following table contains additional important details about the migration process:

Feature Parity

Existing widgets, data sources, and filters will be migrated only if the following conditions are met. If any of these conditions are not true, the entire report will be skipped from migration:

  • The report must not contain any Exclude or Active Directory-related filters (e.g., LDAP Groups, LDAP Attributes).

  • All widgets and data sources used in the report must be fully available on the NextGen platform.

Report sharing options, such as SHARE VIEW-ONLY and SHARE VIEW & EDIT, will be migrated.

Post-Migration Sync

The initial migration is a one-time process. Once it is complete, if you subsequently make changes to your BI Reports within your Legacy environment, those updates will not be reflected automatically in the NextGen dashboards.

To ensure your NextGen dashboards contain the most recent updates, you must perform a manual sync. You can do this by selecting the Sync from Teramind Legacy option from the Dashboard Actions Menu in NextGen.

Availability of the Sync Option

The Sync from Teramind Legacy option is only available on Custom dashboards that were successfully migrated from the Legacy environment. This option will not appear for any new Custom dashboards you create directly within the NextGen environment.

Dashboard Tabs

Tabs allow you to add widgets and organize your dashboards into categories for easy navigation.

Adding a New Tab

Only Custom Dashboards allow you to add, edit, or remove tabs. After adding a new tab, don’t forget to save the dashboard by clicking the Save Changes button.

1. Click the New tab button near the top-right corner. The Add new tab panel will open on the right side of the screen:

2. Give the tab a name and optionally a description, then click the Submit button to save and add it to the dashboard. Repeat the steps to add more tabs.

Editing / Cloning / Removing Tabs

Only Custom Dashboards allow you to edit/clone/remove tabs. After making any changes to the tabs, don’t forget to save the dashboard by clicking the Save Changes button.

Hover over a tab’s name/title. You will see a Three Dots icon. Click the icon to open the tab’s Context Menu. From the menu, select:

  • Edit tab: to edit the tab’s name and description. It’s similar to creating a new tab.

  • Clone tab: to clone/duplicate the tab. The cloned tab is automatically named "Clone - [tab name]" and copies all original widgets and any filters applied to the widgets. This allows you to experiment with new layouts or compare configurations without recreating tabs and widgets from scratch. Please note that while widget-level filters are preserved, dashboard-level filters do not carry over to the cloned tab.

  • Delete tab: to remove the tab.

Dashboard Widgets

Widgets are the main components of a dashboard. Widgets are dynamic tiles that display snippets of information on selected data points or KPIs. Teramind has many widgets you can place on your dashboard according to your needs.

The widgets are placed on a virtual grid. They can be moved around or resized. When you move or resize a widget, other widgets around it will reposition themselves to make room for it.

The data displayed on the dashboard widgets isn’t real-time (except for a few special widgets such as the Live Montage widget). It can take up to 4 hours for widgets to refresh their data.

Only Custom Dashboards allow you to add, edit, clone, or remove widgets.

There are three types of widgets you can add to your Custom dashboards:

Adding an AI-Generated Widget

The AI-Generated Widget is powered by Claude. Customers may opt out of this feature at any time by submitting a request to support.

Alternative Methods for Adding AI-Generated Widgets

This section describes one way to add an AI-generated widget to your dashboard. There are other methods available as well:

  • There is usually an AI Generated Widget available by default on all Custom dashboards (unless you have removed it). You can directly enter prompts to the widget and save it.

  • You can click the Create Widget button from any Preset dashboard. However, widgets created this way can only be previewed. To save the widget and add it to your view, you will need to clone the dashboard to create a Custom dashboard.

Custom dashboards come with an AI widget generator that allows you to quickly create powerful chart and grid widgets using natural language prompts.

To add an AI-generated widget to your dashboard, do the following:

1. Click the New Widget button. This will show a panel on the right side where you can see a list of widget templates:

2. Click the Generate button on the AI widget generator to create an AI-generated widget.

3. Type a prompt in the text area of the widget generator. Here are some examples:

  • “Create a chart showing incoming and outgoing emails for the top 10 employees.”

  • “Create a table of employees with name, active time, and idle time.”

  • “What was John’s idle time last month?”

Using Special Keywords in Your Prompts

You can use special keywords such as “average” and “comparison” to create complex reports. For example:

  • “Show me the daily average work time of each user for the last month.”

  • “What users have a productivity percentage increase of 10% or more, comparing this month vs. the previous 3 months." Or, “What users have productivity % increased by 10% or more, this month vs. the previous 3 months.”

Be creative with your prompt and try different phrasings to get the result you want.

4. Click the Generate button. The widget will be generated:

5. Click the Done button.

6. Optionally, click the Thumbs Up/Thumbs Down icons at the top-right corner of the widget to provide us feedback to improve the AI.

7. A widget name will be automatically assigned by the AI, but you can edit it.

8. Click the Save button to add the widget to the Dashboard.

After adding a widget to the dashboard, don’t forget to save it by clicking the Save Changes button.

Adding a Custom Widget

A custom widget allows you to create a chart or grid out of common data sources such as Applications & Websites, Emails, Social Media, Behavior Alerts, etc.

To add a custom widget to your dashboard, do the following:

1. Click the New Widget button. This will show a panel on the right side where you can see a list of widget templates:

2. Click the Setup button next to the Create Custom Widget template. There are three main types of custom widgets:

Chart Widgets

1. Give the widget a name in the Widget Name field.

2. Select a chart type from the Type pull-down menu, such as Bar, Column, Area, Line, Pie, etc.

3. Click the Data Source field to select one or more data source, such as Apps & Web, Emails, Behavior Alerts, Input Activity, etc. Click the X icon on a selected source to remove it.

4. Optionally, check Show Minimap to display a minimap on the chart, and Legend to display the chart legend. Note that not all charts have these options.

5. Optionally, select a Palette (color theme).

6. Select a data point for Dimension 1. Optionally, select a data point for Dimension 2 to break the data down further (for example, Employee by App/Domain). You can delete a dimension by clicking the small Trash Can icon next to it. For each dimension, optionally set its Ranking: choose Top or Bottom, enter a Count, and pick the value to Rank by (for example, Top 10 employees by Active time).

7. Click the Measures field to select one or more values to be displayed on the chart, such as Productive Time. Click the X icon on a measure to remove it.

8. Optionally, click + Add Sorting to add a sort level. Select a data point to sort on (the available data points depend on the dimensions and measures you selected) and choose Ascending or Descending. You can delete a sort by clicking the small Trash Can icon next to it.

9. Optionally, set a Limit to restrict the number of items displayed on the chart.

10. Optionally, under Filter widget, click + Add filter to apply a filter to this widget. Select a field and value. Check Exclude to exclude the selected values instead of including them. You can delete a filter by clicking the small Trash Can icon next to it.

11. As you make changes, a live Widget preview at the bottom of the panel shows how the chart will look.

12. Click the Save button to save the widget.

Notes About Chart Widgets

Not all charts have all the options available to them, and some options work slightly differently depending on the data sources or data points you select. For example:

  • Data Sources: If you select multiple data sources, only the dimensions and measures common to all selected sources are available for selection.

  • Chart-specific data sources: Some chart types only become available in the Type dropdown after you select the right data source - for example, the Geo chart requires the Geolocation data source.

  • Dimension 2: In most charts Dimension 2 is optional, but in the Heatmap chart it's mandatory.

  • Geo chart: The Geo chart only allows the Coordinates data point for Dimension 1, and Count, Time, Latitude, Longitude, and Error Radius for its Measures.

  • Line/Area chart: These charts offer two extra options: Grid lines, which shows grid lines on the chart, and - when a date-related data point (Date, Week, Month, etc.) is in Dimension 1 - Prevent Interpolation, which inserts extra dates with empty values in gaps between date ranges to keep the chart accurate.

Grid Widget

1. Give the widget a name in the Widget name field.

2. Select Grid from the Type pull-down menu.

3. Click the Data Source field to select one or more data sources, such as Apps & Web, Work time, Behavior Alerts, Emails, etc. Click the X icon on a selected source to remove it.

4. Some data sources come with Graphs options. Check the options for the supported data sources to add their special graph columns to the grid (for example, checking Work time adds a Work time: Active/Idle time graph column, Input activity adds an Input activity: Activity (%) graph column, etc. - each showing visual timeline in the column instead of text values).

5. Optionally, under Filter widget, click + Add filter to apply a filter to this widget. Select a field and one or more values. Check Exclude to exclude the selected values instead of including them. You can delete a filter by clicking the small Trash Can icon next to it.

6. Click the Save button to save the widget.

Special Widgets

Special widgets differ from standard chart and grid widgets, featuring unique properties and distinct data visualization formats. Widgets in this Type include:

  • Indicator Widget: Displays key metrics as large, easy-to-read tiles similar to the ones found on the Productivity dashboard.

  • Geo Widget: Shows an interactive geolocation map similar to the one found on the Geolocation dashboard.

Indicator Widget

The Indicator widget displays key metrics as large, easy-to-read tiles - one tile per measure. Use it for headline numbers you want to see at a glance, such as total employees being monitored, average active hours, average productive time, etc. Tiles can also show a comparison against the previous period.

1. Give the widget a name in the Widget name field.

2. Select Indicator from the Type pull-down menu.

3. Click the Data Source field to select a data source, such as Apps & Web.

4. Click the Measures field to select a values to display, such as Employees Monitored, avg(Active time), or avg(Productive Time), etc.

5. Optionally, under Filter widget, click + Add filter to apply a filter to this widget. Select a field and one or more values. Check Exclude to exclude the selected values instead of including them. You can delete a filter by clicking the small Trash Can icon next to it.

6. As you make changes, a live Widget preview at the bottom of the panel shows how the tiles will look.

7. Click the Save button to save the widget.

Geo Widget

The Geo widget plots geolocation data on an interactive map as a heatmap - colored hotspots show where activity is concentrated, with a color scale legend indicating the value range. Use it to visualize where employees work from, or to spot activity in unexpected locations.

1. Give the widget a name in the Widget name field.

2. Select Geo from the Type pull-down menu. This chart type is only available when the Geolocation data source is selected.

3. Click the Data Source field and select Geolocation. Note that this chart type reads one data source only.

4. Select a data point for Dimension 1. The Geo chart only allows the Coordinates data point here.

5. Optionally, select a data point for Dimension 2 to break the data down further, such as City, Employee, etc. You can delete a dimension by clicking the small Trash Can icon next to it. For each dimension, optionally set its Ranking: choose Top or Bottom, enter a Count, and pick the value to Rank by (for example, Count, Time, Latitude/Longitude, etc.).

6. Click the Measures field to select the value that drives the heatmap intensity, such as Count, Time, Latitude, Longitude, etc.

7. Optionally, set a Limit to restrict the number of data points plotted on the map.

8. Optionally, under Filter widget, click + Add filter to apply a filter to this widget only, on top of the dashboard filter - for example, filter Office By Geolocation to Out-of-office to see only activity outside known office locations. Check Exclude to exclude the selected values instead of including them. You can delete a filter by clicking the small Trash Can icon next to it.

9. As you make changes, a live Widget preview at the bottom of the panel shows the map.

10. Click the Save button to save the widget.

Adding a Built-In Widget

Live Montage

The Live Montage widget shows a montage of live desktop views of online employees. It’s similar to the Live Player tab on the Live View dashboard.

The widget is easy to set up. Just enter a widget name, a description (optional), and select how many screen tiles to show per row.

Employees Online

The Employees Online widget shows a grid view of online employees and their activity status (e.g., Current Activity, Active/Idle Time, Current Task, etc.). It’s similar to the Live Users tab on the Live View dashboard.

The widget is easy to set up. Just enter a widget name, a description (optional), and select the columns (e.g., Employees, Computer, Current Activity, etc.) to be displayed.

Snapshots

The Snapshots widget shows screen snapshots of a selected user or computer at 10-minute intervals. It’s similar to the Snapshots tab on the Live View dashboard.

The widget is easy to set up. Select a user or computer from the Widget preview section, enter a widget name, and a description (optional).

Employees Online Total

The Employees Online Total widget shows the total number of employees online.

The widget is easy to set up. Just enter a widget name and a description (optional).

  • The first number on the widget shows the currently online employees.

  • The graph shows how many employees were online each day (for the selected date range). You can hover over the graph to see the number for the date.

  • Click the Learn More link to go to the Employees screen.

Agent Versions

The Agent Versions widget shows the total number of computers by Agent versions.

The widget is easy to set up. Just enter a widget name, a description (optional), and the limit (how many different agent versions to show).

  • The doughnut chart is divided into separate colors to show different versions of the Agent and how many computers are using each version.

  • You can hover over a color segment to view details for that version.

  • There’s a legend area at the bottom of the chart showing Agent version numbers, the number of computers using each version, and the % of all computers.

Computers Offline

The Computers Offline widget shows the total number of offline computers.

Setting up the widget is straightforward. Simply provide a widget name, an optional description, and a From/To range in days.

  • The first number displayed on the widget represents the number of computers currently offline.

  • The graph illustrates the daily count of offline computers over your selected date range. You can hover your mouse over the graph to see the exact number of offline computers for a specific date.

  • The From and To fields establish the timeframe for identifying offline computers:

    • From sets the maximum number of days a computer can be offline and still not be counted. For example, if you enter "30," any computer that has been online within the last 30 days will not be included in the offline count.

    • To specifies the minimum number of consecutive days a computer must be offline to be counted. For instance, if you enter "2," a computer must have been offline for at least two full days to be included in the count.

  • Click the Learn More link to navigate to the Computers screen.

Insights

Shows the total insights as a donut chart broken down by risk severity.

The widget is easy to set up. Just enter a widget name and a description (optional).

Editing/Managing Widgets

1. Click the Customize dashboard button to active the dashboard edit mode.

2. Moving/Positioning: Click and drag on the widget title or top area to move it. Other widgets will automatically rearrange themselves to fit the moving widget.

3. Widget Actions: Hover over the top-right corner of a widget to reveal actions you can apply to the widget. Note that some of the options are only available when you activate the dashboard edit mode (see Customize Dashboard above):

a. Configure Grid Columns/Rows: Click the Grid icon at the top right corner of a grid widget to open/close its settings panel. From this panel, you can select which columns to show on the grid, create row groups, sum the number of items, etc. See the Adjusting Grid Columns and Rows section to learn more.

b. Apply Widget Filters: Click the Filter icon to apply filters to a widget independently of the dashboard filters. The filters work similar to the Dashboard Filters but the scope is applied to the selected widget only.

c. Expand Widget: Click the Expand icon to expand/maximize the widget in a pop-up window.

d. Edit/Clone/Remove Widget: Click the Three Dots icon near the top-right corner of a widget to access the widget’s Context Menu. From the menu you can edit, clone or remove the widget. Editing the widget is similar to creating a new widget.

4. Click and drag the left/right/bottom or the bottom corners to resize it.

After making any changes to the dashboard, don’t forget to save it by clicking the Save button.

Applying Filters to a Widget

You can filter a widget's data by adding widget filters. These filters work similarly to dashboard filters, but they only affect the widget(s) they are applied to. Both widget filters and dashboard filters can be applied simultaneously, as they function independently.

Applying Quick Filters (Chart Drill-Down)

On some Bar, Column, or Heatmap chart widget, you can click on a chart element (e.g., the bar of a bar graph) to drill down into the chart element. Other charts and grids on the dashboard will update to show data related to the chart element(s) you selected. The element(s) will turn into a lighter color when selected:

Click on an element to select it. You can Shift+click to select multiple elements. The elements will be automatically added as filters on the filter panel.

Click on a selected element to deselect it. You can also click the Remove drill-down button on top to deselect all elements.

Even though you apply quick filters from a widget, the filters acts as dashboard filters, i.e., they apply to the entire dashboard, not just the widget.

Adjusting Columns and Rows

Once you have added a grid widget on the dashboard, you can configure which columns (data points) will be shown on the grid, rearrange its columns, organize rows into groups, etc.:

1. You can click a Group row’s Right Arrow icon to expand it and the Down Arrow icon to collapse it.

2. Hover over a column header and click the Three Dots icon to open its context menu. From here, you can sort the column, pin/unpin it, group or ungroup rows, choose which columns to display, etc.

3. You can use the Vertical Divider | divider between columns to change their length. You can also click and drag a column to move it left/right.

4. Click a Column Title to sort it. Click again to change the sort order (between ascending ↑ or descending ↓).

5. Click the Grid icon at the top right corner of a grid widget to open/close its settings panel:

a. You can search for data points (columns) using the Search… field.

b. Click on the Checkbox in front of a data point to add/remove it as a column on the grid. Use the top checkbox to select/deselect all data points.

c. To customize your report, use the Columns icon to drag fields into either the Row Groups or Values sections:

  • Row Groups: Row Groups allow you to categorize and group multiple rows under a shared column, such as Employees or Departments. It's important to note that you cannot add columns containing unique data and numeric values (like Timestamp, Active Time, etc.) to Row Groups.

  • Values: The Values section is used to perform calculations, such as finding the sum, average, unique values, etc. of selected columns. You cannot add columns that are not quantifiable (e.g., Employee Name or a Date column) here.

To switch the function (e.g., avg. to sum) simply click on the column in the Values section and select the desired function. Keep in mind that not all values support all functions.

Using the Grid Row Context Menu

1. Click the Three Dots in front of a row to access its Context Menu. You can also access it by right-clicking directly on a row.

Depending on the dashboard, you might see several options on the menu. But three options are common:

  • View Record: to invoke the Session Player.

  • Show details record: opens a panel on the right side of the screen. The details panel is context sensitive, meaning that, other than the common information (e.g., Employee, Computer, Task, etc.), the details will change based on the report you are in. For example, the Emails report will show details like email client, email sender/receiver, subject, body, etc. Whereas, if you were in the Applications & Websites report, the details panel would show information relevant to that report, such as app name, window title, active time, unclassified time, etc.

  • Investigate: will open the Employee’s details screen of the selected employee. Note that you can also click an employee’s name or a computer’s name from a grid widget to go to the employee’s/computer’s details screen.

  • Other options: some dashboards come with additional options. For example, the Printing dashboard comes with a "View Document" option that lets you view the document sent to the printer; the Applications & Websites dashboard comes with a "Classify Activity" option to categorize apps/websites, etc. These options are discussed in the relevant dashboard sections.

The grids on other screens, such as Employees, Computers, Shared Lists, etc., have their own Context Menu items.
