How to add another person to receive email notifications from Teramind

In Teramind, any feature or alert that supports email sending allows you to add multiple recipients, ensuring that all relevant team members stay informed.

Note: In most cases, to add a user as an email recipient for alerts and notifications, you must first add them as an employee in the Teramind Dashboard. Recipients must also have the correct access level or permissions to access linked data or open restricted reports and exports. If an unauthorized person receives an automated report link, they will be unable to access the file.

Automated Notifications Supporting Multiple Recipients

The following features support adding multiple email recipients:

  • Behavior Rule Notifications: You can send alerts to multiple email addresses by entering them into the recipient field of the Notify rule action.

  • Scheduled Dashboard/Report Exports: When scheduling an auto-export of a report or dashboard, you can enter one or more email addresses to receive the files.

  • Offline Computer Notifications: Under the computer info settings, you can specify one or more email addresses to get a notification whenever a computer goes offline.

  • Storage Limitation Alerts (On-Premises/Private Cloud): You can specify multiple email addresses in the System > Storage screen to be notified when available storage reaches a minimum threshold.

  • OCR Alert (On-Premises/Private Cloud): You can configure email alerts from the Configurations > Settings > OCR screen if OCR mining process falls behind.

  • License Overutilization Alerts: You can specify multiple email addresses in the Exceeding license alerts section of Alerts settings to receive daily alerts if the number of monitored users exceeds your license limit.

  • Changing the Email Sender (On-Premises/Private Cloud): When configuring your SMTP server, you can provide a Sender Email address that Teramind will use for all outgoing communications.

Daily Snapshot Emails

The Daily Snapshot (also known as the Email Digest) is managed differently because its distribution is primarily governed by administrative roles and specific organizational settings.

  • Department Managers: To include department managers in these notifications, you must enable the Send daily snapshot emails to department managers option located under Settings > Alerts. Once enabled, these managers will receive a report containing data only for the users assigned to their specific department.

  • Individual Admin/Department Manager: By default, all users with the Administrator access level receive the daily digest. You can opt-out a specific administrator or department manager by selecting their profile and toggling the Disable daily digest report option under their Account tab.

One-Off and Manual Tasks

While the features above are for recurring automated notifications, you can also specify different or multiple recipients for manual, one-off tasks. For example, when exporting a video from the Session Player, you are prompted to specify the email address where the download link should be sent.
