How to add or import employees and computers to your Teramind Dashboard

Adding employees and computers is the fundamental first step in establishing your monitoring environment. Whether you are onboarding new staff, deploying hardware to a new department, or integrating external contractors, Teramind ensures that every user and device is correctly identified for accurate time tracking, productivity analysis, and security enforcement. Proper setup ensures that activity data is linked to the right individual and that behavior policies are applied consistently across your organization.

Teramind provides multiple methods for this process, ranging from manual entry and bulk imports to automated directory synchronization and SSO enrollment.

Enabling Monitoring for New Employees

Simply deploying the Agent does not always result in the employee or computer automatically appearing on the dashboard. To ensure they show up automatically, you can enable the Enable monitoring for new agents and/or Enable monitoring for new computers options found under Configurations > Settings > Agents. Alternatively, you can manually enable or disable monitoring from the Employees or Computers screens. Check out this article to learn how.

Adding Employees Manually

You only need to add an employee / user if they are using the Revealed Agent. Employees using the Stealth Agent are added automatically upon installation, but you can still edit their employee profile for easy management and reporting.

You can add an employee from the Employees screen:

1. Select Employees from the main menu.

2. Click the New Employee button, which opens the Create Employee panel.

3. Fill out the details across the following tabs:

  • Personal Tab: Enter name, email address, and phone number. Note: Use caution when changing existing email addresses, as Teramind uses them as unique IDs.

  • Account Tab: Set the Access Level (e.g., Administrator, Employee) and configure dashboard permissions like self-history playback or activity report viewing.

  • Monitoring Tab: Assign a specific Monitoring Profile or adjust settings to create a "Custom profile" for this user.

  • LDAP Tab: (ready only) Displays LDAP attributes for users imported from Active Directory.

4. Click Submit to save the profile, or Send Invite & Submit to invite the user to Teramind. If you use the second option, the employee will receive an email invitation to download and install the Teramind Agent, along with a temporary password for login.

Importing Employees via CSV (Bulk Import)

You can use the import feature to add employees in bulk from the Employees screen:

1. Select Employees from the main menu.

2. Click the Three Dots at the corner of the Employees dashboard to access the Context Menu, then select Import employees. The Import Employees panel will open on the right side of the screen.

3. Click the Download Template (CSV) button to obtain the required file format.

4. Open the downloaded CSV template in Excel or another editor. Fill in your employees' information, being careful to keep the special formatting of the CSV intact. Save the file once you are done editing.

5. Click the Upload a file link to upload your completed CSV file.

6. You can turn on the Email the invitation to the employee option to send out email invitations to the employees to install the Teramind Agent.

7. Click the Add Employees button to begin the import process. If your CSV file is valid, you'll see a success message once the import is finished.

Adding Computers

Computers are added to the system by installing the Teramind Agent:

  • Stealth Agent: Once installed, both the user and computer appear automatically on the dashboard within approximately one minute of connection.

  • Revealed Agent: The computer and associated user account are added to the dashboard once a user launches the Agent and successfully logs in with their credentials.

Automated Enrollment

Teramind allows you to automate the addition of new users and computers through several options:

Enable Agent Default Settings

Located under Configurations > Settings > Agents, these options lets you set up new Agent connections automatically:

  • Create new user on first agent connection: If enabled, Teramind automatically generates a new user account the first time an Agent connects to the server, provided that user doesn't already exist.

  • Enable monitoring for new agents/computers: Ensures that newly added entities are immediately monitored without manual intervention.

Auto-Register Agents via Single Sign-On (SSO)

If you set up SSO authentication from the Configurations > Settings > Authentication screen, you can configure Teramind to automatically register new Agents:

  • Auto register new agents: If this option is enabled, Teramind automatically generates a user profile the first time someone logs in via SSO if their email is not found in the system.

  • Default Permissions: You can configure default permissions for these auto-registered users, such as their ability to view activity reports or historical recordings.

Import Entities from Active Directory

You can integrate with Active Directory domains via Configurations > Settings > Active Directory to import users, computers, and groups directly from your domain.

Some of the relevant options include:

  • Limit Fetching: Specify exactly which Organizational Units (OUs) or Groups to pull from.

  • Replicate computer's state: If enabled, AD-enabled computers are imported as auto-monitored, while AD-disabled ones are imported as non-monitored.

  • Import users and computers from OUs: Automatically treats OUs as Departments in Teramind for organized reporting.

  • Monitor only users in these groups: Automatically enables monitoring only for specific AD groups and disables it for others.
