Managing excessive email notifications

How to stop getting too many email notifications from Teramind

If you are receiving a high volume of email notifications from Teramind, it is typically due to active behavior rules, automated daily reports, or environment-level alerts. You can reduce this "noise" by refining rule actions, adjusting global limits, or managing feature-specific notifications.

Refine Behavior Rule Notifications

Behavior rules are the most frequent source of high-volume emails. Instead of disabling monitoring entirely, adjust how and when they trigger alerts:

Disable Unnecessary Policies/Rules

Review your active policies and rules under the Configurations > Behavior Policies screen. Disable any rules or entire policies that are no longer needed, as they may contain a Notify action that continues to send automated emails.

Adjust Rule Actions

Verify that the Notify action is enabled only for critical violations to minimize unnecessary inbox volume. For more granular management, you can assign different recipients to specific rules, ensuring alerts reach only the relevant stakeholders. For example, configure productivity-related rules to notify the relevant department managers while directing high-risk or security-based notifications exclusively to the CSO. Alternatively, you can use other rule actions like Warn, Block, etc.

Adjust Alert Count / Frequency

Switch to Advanced mode within the rule editor.

  • Use the Choose maximum numbers of saved alerts per day field in the rule's Advanced mode to stop receiving notifications once a specific count is reached for that rule.

  • Set a Frequency threshold. For example, configure a rule to trigger an email only if a violation occurs more than five times in a specific period rather than for every single instance.

Schedule Dashboard Exports

Individual reports or custom dashboards can be configured for automatic delivery to your inbox. If you no longer need these recurring emails, you can manage them from the schedule export settings.

Disable Auto-Export

Open the specific Dashboard you receive via email. Click the Three Dots icon to open the Dashboard Actions Menu and select Schedule Export. Disable the Enable auto-export email option. Alternative, you can use a different email address for the report delivery.

Adjust Global Alert Limits

You can control the overall system volume through global configuration settings under Configurations > Settings > Alerts:

Group Identical Alerts

Use the Alert emails limit field to specify the number of individual emails sent before identical alerts are consolidated into a single email digest. The default is 16 emails.

Log Alert Threshold

Define the minimum time interval (in seconds) between logging alerts in the system using the Log alert threshold field. The default is 1 second.

Manage Daily Snapshot/Digest Emails

By default, all users with Administrator access receive a daily summary of organization activity.

Disable for Specific Users

Go to to the Employees screen, select an employee (or your own name), click Edit Profile, and then select Account tab. Turn on the Disable daily digest report option.

Restrict Department Managers Access

Turn off the Send daily snapshot emails to department managers option under the Configurations > Settings > Alerts screen to disable daily snapshot/digest emails for all department managers.

5. System Maintenance & Environment Notifications

Other environment-level features may trigger automated emails, particularly in local deployments:

Agent Offline Alerts

If you receive too many "Agent Offline" emails, go to Computers, click the Three Dots menu in front of a computer's name, select Edit Computer Info. Adjust the Notify when offline settings including the Email the Computer offline threshold field.

License Overutilization Alerts

If you exceed your license limit, a daily alert is sent. Manage this under Configurations > Settings > Alerts by toggling off Send license overutilization daily email alert.

Storage Capacity Alerts (On-Premises / Private Cloud)

Teramind alerts you when primary or recording volumes reach critical limits. Go to System > Storage and adjust the Email minimum space threshold; setting it to "0" disables the email alert. You can also adjust the email addresses to deliver the alerts to a different inbox. Alternatively, you can use the Disable notifications for 12 hours button to temporally disable the emails.

OCR Session Mining Delay (On-Premises / Private Cloud)

Automated notifications are sent if OCR processing falls behind. Navigate to Configurations > Settings > OCR to configure how these notifications are handled:

Turn off the Set mining delay threshold option or increase the Threshold field to receive fewer emails. You can also temporarily disable the notification by enabling the Disable email notifications and select a date until which the notification will be disabled. You can change the Email notifications recipients file to redirect the emails to a different inbox.
