Introduction to Tasks
Tasks help you organize user activities for accurate time tracking and productivity reporting.
What can you do with tasks?
Assign Tasks with Rules: Any tasks you create from the Tasks screen will be available to the Policy & Rule Engine so that you can automatically assign a task to an employee with the Switch Task rule action. This is particularly useful for the Stealth Agent, as this Agent doesn’t allow employees to select their own tasks.
Set the Default Task: You can set the Default Task for an employee (Employee’s Profile > Account tab) or set the Default Task for the entire organization (Settings > Agents tab).
Use the Web-Based Time Tracker: Allow employees to select a task when clocking in from the web interface without requiring Teramind Agents to be installed on their computers – useful when hiring external consultants or contractors.
Import Projects/Tasks from 3rd Party Solutions: Import projects and tasks from an external Project Management solution such as Jira.
View Productivity Dashboards: Tasks employees worked on are shown in various dashboards and widgets. Tracking employee time with tasks helps you get a better understanding of your organizational productivity and how your employees spend their time.
The Tasks screen allows you to create and manage tasks and subtasks:
1. Tasks are hierarchical. You can have parent tasks and subtasks at multiple levels (see the Notes About Tasks section below). Click the Right Arrow icon to expand and Down Arrow
icon to collapse the task tree.
2. New Task button: allows you to create a new task.
3. Click the Three Dots to access a task’s Context menu:
Edit Task: to edit the task. Editing a task is similar to creating a new task. Note: You can also click a task to edit it.
New Subtask: to create a new subtask under the selected parent task. The process is similar to creating a new task.
Clone Task: to duplicate/copy a task.
Archive Task: to archive (delete) the task. If you archive/unarchive a parent task that contains subtasks, all those subtasks will be archived/unarchived too.
Notes About Tasks
Tasks can have multiple (nested) levels of parent tasks and subtasks. For example, you might have a parent task named Marketing Projects. Under which you can have Project 1, Project 2. Again, under Project 1, you can have Website Launch, Email Campaign, Social Media Campaign, etc., and so on:
You can have the same task/subtask name under different parents, but not under the same parent. In the above figure, you have two subtasks named “Email Campaign”, but they are under different parents (e.g., "Project 1" and "Project 2").
You can assign either a parent task or a subtask to a user.
Creating a New Task
When you click the New Task button from the Tasks screen, a panel on the right side will let you create a new task:
1. Give the task a name.
2. If you enable the Employees can track this task option, the employees will be able to select this task from their Revealed Agent. This does not apply to the Stealth Agent.
3. Select the parent task. If you select a parent task, the current task will become a sub-task of that parent task. If you do not specify a parent task, then the current task will become a parent task.
4. In the Assign To field, select employees and departments. You can select the “Everybody” option to assign the task to all employees or the “Nobody” option to keep it unassigned.
If you have selected a Parent Task, you will also see an Inherit from parent option. If you enable this option, the task will get its assignments from its parent task.
5. Optionally, provide a description.
6. Click the Submit button to create the task.
