Duplicate user entries typically occur due to changes in an employee's unique identifier such as an email address or domain name.
Common Causes of Duplication
Email Address Change: This is the most common cause. Teramind uses the email address as part of the employee's unique ID. Changing this in the profile while using a Stealth Agent results in a new entry.
Computer Renaming: If a computer is renamed after the Stealth Agent is installed, a new employee account is often created to reflect the current hostname.
Active Directory Sync: If a user’s domain changes, the system may treat the new
user@domainas a unique individual.
Solutions
1. Identify and Archive the Obsolete Entry
To prevent data fragmentation, you should identify which of the duplicate accounts is no longer active and archive it.
1. Navigate to the Employees screen.
2. Use the Last Login column to identify which entry hasn't been seen recently.
3. Click the Three Dots icon next to the old entry and select Archive.
Note: Archiving hides the employee from employee list and filters and disables monitoring for the employee. It also frees up a license, but does not permanently delete the employee or their historical data.
2. Prevent Future Duplicates (AD Changes)
If you are planning an Active Directory domain migration, you can use a specific installation parameter to keep the Agent linked to the original domain entry.
During Agent installation, use the TMDOMAINOVERRIDE parameter to force the Agent to report under the old domain name.
Example:
msiexec /i teramind_agent_x64.msi TMDOMAINOVERRIDE=originaldomain.com
3. Maintain Consistent Hostnames
Because Teramind takes computer names directly from the Windows or macOS hostname, ensure the name is unique and finalized before installing the Agent. If you must rename a machine post-installation, archive the old entry once the new one appears to keep the Dashboard clean.
