How to Track Payroll and Wages in Teramind

Introduction

Teramind allows organizations to monitor workforce efficiency and seamlessly track financial metrics like labor costs and resources allocations. By associating compensation rates with tracked hours, administrators can generate detailed financial audits alongside standard productivity metrics.

This article outlines how to configure individual user wage settings and look up total cost reports using built-in or custom dashboard widgets.

Step 1: Configure the Wage/Salary

Before tracking financial distributions, you must define the monetary value of an employee's time within their account setup.

  1. Navigate to the Employees screen from the main menu.

  2. Locate the target employee in the grid and click on their name to access their Employee Detail page.

  3. Click the Edit Profile button to slide open the profile configurations panel.

  4. Under the Personal tab, locate the Rate field. Enter the employee's designated compensation value, select "per hour" or "per year".

  5. Click the Apply changes button to save the profile.

Repeat the above process to set up wages/salaries for each employee or contractors.

Step 2: View the Wages Report

Method 1: Use the Built-in Productivity Dashboard

Once your employees' rates are saved, you can use the built-in Productivity dashboard to view it along with other productivity metrics.

  1. Open the Dashboards menu and select the Productivity dashboard.

  2. Scroll to the very bottom of the screen to find the Productivity detail section, which provides an analytical overview of individual employees.

  3. Click the Grid icon located at the top-right corner of the grid widget to open the column adjustment panel.

  4. Find Wage: work time and select its accompanying checkbox to add it to the grid widget.

Method 2: Create Your Own Custom Dashboard

If you prefer a tailored wages report with your own specific data points and columns, such as tracking wage allocations across different projects and tasks, or if you want to create visual charts to compare labor budgets between departments, Teramind gives you the flexibility to build your own custom dashboards.

  1. Access the Dashboards > All Dashboards catalog screen.

  2. Click the Custom Dashboard button at the top-right.

  3. Enter a distinctive name (e.g., "Contractor Payroll") and an optional description, then press Create.

Now you are ready to add a widget to your dashboard. Choose one of the options below to add the widget:

Option 1: Manually Add a Widget

This method allows you to build a standard grid or chart widget completely from scratch, giving you granular control to select the exact tracking fields and layout formats that fit your accounting requirements.

  1. Click the New Widget button.

  2. Click the Setup button next to the Create Custom Widget template.

  3. Give the widget an easily identifiable title in the Widget Name field.

  4. From the Data Sources list, select Work time. You can select additional data sources if wanted.

  5. From the Chart Type drop-down menu, select your desired layout format such as Grid, Bar, Column, etc.

  6. If you've select the Grid chart type, select your desired columns from the Columns list, ensuring you add the Wage column.

  7. If you've select a chart (e.g., Bar, Column, etc.), select your desired metrics for the chart's x/y axis from the Dimension #1, and optionally, Dimension #2 fields. Then, select the appropriate Measures, ensuring you add the Wage column.

  8. Click the Save button to add the widget to your dashboard.

Option 2: Use the AI Widget Generator

You can use the AI Generate Widget feature (found on all dashboard) to instantly generate powerful grids or chats without having to manually configure a widget. Simply type a clear prompt like ""Create a table showing employee, department and wage columns" and press the Generate button.

Exporting Wage Data for Payroll Processing

When your billing cycle closes, you can export these tracked records to pass off to external accounting systems or your financial team.

  1. Click the Three Dots icon situated at the top right of your custom page or grid widget to call up the action options.

  2. Click the Export data as CSV option from the context dropdown menu to download the CSV.
