Introduction
The Schedules page lets you set, review, and adjust employee working hours using two tabs:
Scheduling: A grid for viewing, creating, and editing specific employee work shifts.
Schedules: A management area for creating and maintaining reusable weekly templates (such as a standard 9-to-5 or part-time rotation).
These schedules feed Schedule rules under Behavior Policies, for example to notify on late starts or idle time during working hours. For more information, check out the Rules Guide.
Scheduling
The Scheduling tab is the default view. Each row is one employee and each column is one day of the selected date range. A colored bar in a cell means the employee is scheduled to work that day; a gray DAY-OFF cell means no work is expected; and a blank cell with a + means no shift has been set for that day yet.
1. Click the Scheduling / Schedules tab to switch between the Scheduling and Schedules (Templates) tabs.
2. Use the Date filter to change the date range.
3. Use the Name field to search for employees.
4. Click the Filters button to narrow the employee list, for example by name or department.
5. Click Batch schedule editing to apply a weekly schedule to several employees at once.
6. Click an employee’s name in the Employees column to add/edit a weekly schedule for the employee. It’s similar to Batch schedule editing.
The column also shows the employee's current schedule status:
No schedule: The employee doesn’t have any schedule assigned.
Own hours: The employee is assigned a custom shift with no template attached.
Name of a Template: A template is assigned, e.g., “Night Shift”, “Agent Hours”, etc. You can create schedule templates from the Schedules tab.
7. Next to the Employees column, you will see the schedule assignments:
A colored bar in a cell means the employee is scheduled to work that day. Each color distinguishes one employee or template from another. Click the colored bar to edit the employee’s shift.
A gray DAY-OFF cell means no work is expected. You can assign day-offs when creating or editing schedules or templates (see below for more information).
A plain + means no shift has been set for that day yet. Click the + sign to add a shift for the employee.
Adding/Editing Shifts
1. On the Scheduling tab, click the + in an empty cell to add a shift, or click directly on a colored shift bar to edit an existing one. Either opens the shift panel (titled Add shift or Edit shift):
2. When adding or editing a shift, the Applies to line indicates its current status: empty dates display "No schedule", unmodified template shifts show the template name (e.g., "Part-Time"), and previously modified template shifts display a "Changed for this date" tag alongside a Delete button at the bottom (see #10 below). Note that editing a templated shift overrides the schedule for that specific employee and selected date(s) only - it will not alter the underlying template.
3. Optionally choose a schedule template from Assigned Schedule Template. Its hours are copied into the Start/End/Work time fields automatically. Leave it as No template to set custom, one-off hours instead.
Changing the Assigned Schedule Template overrides shifts across the entire date range selected in the page's Date filter - not just the single date clicked on the schedule bar. To modify the schedule for a single date without affecting the rest of the range, set the Assigned Schedule Template to "No template".
4. Turn on the Day-off toggle to mark the day as non-working.
5. If you are editing an existing shift, and there are multiple timeslots, click on a slot to edit it.
6. Click on the Plus (+) button to add a timeslot to the shift.
7. Set the hours by dragging the Circles on the time slider, or by typing directly into Start, End; and Work time fields.
8. Click the Remove button to remove a timeslot.
9. Optionally, enter an Allowed break value in minutes.
10. If you modified a templated shift before, you would see a Delete button. Clicking the button removes the override for that date so the employee's shift reverts to whatever the assigned template normally says.
11. Click the Apply changes button to save the shift.
Batch Schedule Editing
1. To set a recurring weekly pattern rather than editing single days, you can use either of the following two options from the Scheduling tab:
a. Click the Batch schedule editing button to start with a blank editor. The schedule editing window will open as Batch schedule editing.
b. Click an employee's name to open their pre-filled schedule editor. The editing window will open as Change schedule for employee.
Both options share the same interface and setup steps described below:
2. Select employees from the Employees drop-down list. Note that if an employee has a position assigned to them, and that position has a schedule template linked to it, the employee's schedule is assigned from that position by default. Saving the schedule overrides this and stores separate hours for the employee instead.
3. Optionally, select a schedule template from the Assigned Schedule Template drop-down. To assign schedules from the employee's position, use the "Follow the position's schedule" option. To skip templates entirely and create a one-off schedule, select the "No template" option.
Check out the Configurations > Positions section to learn more about position-based schedules.
4. Click on a timeslot (cell) to add/edit shifts. See the Adding/Editing Shifts section to learn how to add/edit shifts.
5. Optionally, enter an Allowed break value in minutes.
6. Click the Copy
icon next to a day to apply that day’s shifts to all days.
7. Click the Restore button to reset any changes you made to the schedule.
8. Click the Save button to save the schedule.
Schedules (Templates)
The Schedules tab lists every reusable weekly template, with its hours for each day of the week.
1. Click the Scheduling / Schedules tab to switch between the Scheduling and Schedules (Templates) tabs.
2. If you have a large number of templates, click the Filters button to narrow the list by specific positions, departments, or time ranges.
3. Click the + Schedule button to add a new template.
4. Click a template’s name to edit the template.
Adding/Editing Templates
1. You can add or edit templates from the Schedules tab:
a. Click the + Schedule button to start with a blank template. The template editing window will open as Add template.
b. Click a template’s name to open their pre-filled template editor. The editing window will open as Edit template.
Both options share the same interface and setup steps described below:
1. Enter the Name of the template. This is the name employees and administrators will see wherever the template is used.
2. Click on a timeslot (cell) to add/edit shifts. See the Adding/Editing Shifts section to learn how to add/edit shifts.
3. Optionally, enter an Allowed break value in minutes.
4. Click the Copy
icon next to a day to apply that day’s shifts to all days.
5. Click the Restore button to reset any changes you made to the schedule.
6. Click the Save button to save the schedule.
7. If you are editing an existing template, you will see a Delete button. Click the button to remove the template.
After deleting a template, assign a new template or individual work hours to any affected employees. Without an assigned schedule, employee shifts cannot be tracked, and schedule-dependent behavior rules will not function properly.
